Microsoft Outlook integration – Beware of expensive imitations!

When it comes to making sure Colleague recruitment software works seamlessly with the world’s number one commercial email application we have only one rule, but it’s a big one. Integration not replication.

Unlike some other recruitment software systems which just copy some of Outlook’s functionality, Colleague software integrates with Outlook so that you retain all of the useful features and tools Mr Gates always intended you to have. Without getting too technical, a Colleague ‘ribbon’ is inserted into the Microsoft menus which allow Colleague’s functionality to run seamlessly alongside Outlook’s.

For example, let’s say you want to send a bulk html branded email using one of your templates to the 150 results of a search. You want to send each candidate a personalised version without them knowing you’ve also sent the same email to 149 other people. You want to spell check it and you want to attach a copy of the email to each candidate’s record. If you’ve got Colleague software you can do all of that in just a few clicks. Outlook and Colleague work together, with all the same menus and all the familiar tools in all the right places, just like you’re used to.

Colleague Diary – The PA on your PC.

Colleague’s Diary function is like having a PA on your desktop. You decide what tasks have priority and let the Colleague diary organise your day. Set alarms and notifications for events such as interviews, starters and finishers and Colleague will automatically remind you when you need to take action. If you want to copy your diary entries into Outlook go ahead. Colleague will do that for you as well. With Colleague recruitment software on your team you’ll never forget to contact a client or candidate again.

Multi-tasking made simple

We know what it’s like. You’re looking through a long list of candidates and your phone rings. It’s your client and suddenly the next half hour is going to be very busy. You really don’t want to close your long list and start all over again but what choice do you have?

Choose Colleague and it’s not a problem. Colleague is designed to multi-task with you. You can open multiple windows using multiple files and size and position each window wherever you want to. You can set up Colleague’s summary view to display just the important information you need when highlighting a candidate or a client in selection, search and diary screens. And once you’ve got your screen laid out just the way you like it Colleague will remember and make sure you always see your screen that way.

Colleague’s CV parser extracts the data from CVs attached to emails or received via your website and creates a new candidate record with all the relevant information and details filled in. Basic information such as name, address and contacts are recorded along with other details including career history and qualifications and there are 32 additional searchable fields you can configure to collect whatever data you want. For instance, you can include mandatory fields for a work permit or CRB check prior to candidates being registered to ensure you have all the information you need before you place them. If you already have that candidate on file Colleague will tell you and give you the option to update your records.

Colleague Watchdogs – Your extra eyes and ears

Once a new candidate has been registered we pass them over to the watchdogs. Colleague’s watchdogs are alerts and notifications set up to tell you when a new candidate matching a predefined set of criteria is added to the system or when an existing candidate updates their details. Whether it’s particular skills, geographic locations, availability dates or various other requirements you’re searching for, Colleague’s watchdogs automatically scan candidate records looking for matches and bring them to your attention either with an automatic email or an on screen pop-up message. You can set up as many Colleague watchdogs as you like for as many requirements as you like and they will tell you as soon as they find a match.

Two way SMS

Although personal email devices are catching on, SMS may still be your first choice for sending messages to candidates on the move. With Colleague you can send SMS messages to multiple recipients and their replies will automatically arrive in your in-box as emails. Both the original message and the replies can be easily added to the candidate records. Simple.

Keeping you linked-in

As well as integrating with all the key Microsoft Office applications such as Outlook, Word and Excel, Colleague also has clever built in functionality to allow you to carry out real-time uploads to job boards and websites and to open up Linked-in profiles.
